St. John Bosco: replacing a one-person IT department with a team

When the teacher who ran IT retired, a 4K-8 school chose managed IT over a single hire: a one-month summer handover, a three-year roadmap, and devices ready for remote learning before 2020.

The situation

Where St. John Bosco started

In 2018 the teacher who looked after St. John Bosco's technology retired. The school had to decide whether to hire one IT person or bring in a managed service provider.

A single hire is a single point of failure: if that person is sick, leaves or retires, the school is back where it started, often without the passwords and documentation to carry on.

A handover over the summer, then a plan

We took over in about a month during the summer so classes were not disrupted. In the first year we cleaned up and documented every computer, upgraded them to Windows 10, secured the existing systems and recorded the age and expected end of life of each one.

From that, the school and Quantum built a three-year roadmap with a replacement schedule, priorities and a budget. By the summer of 2019 every student and staff computer and tablet had been replaced.

Technology chosen for how the school teaches

File storage and productivity moved to Google, but we kept students on Windows laptops rather than Chromebooks. The school runs Project Lead The Way, an advanced STEM program, and Windows machines let every student work directly with the school's 3D printer instead of only the teacher. Students also get Google, Microsoft and Apple accounts so they learn all three platforms.

Ready before 2020

Because the devices were replaced and set up in 2018 and 2019, the school was ready when learning went remote in early 2020. Its support was a fixed monthly price, so the surge in help it needed that spring came at no extra cost.

From the start we have scheduled regular on-site visits. Staff save small requests for the visit, and anything urgent gets a technician on site, with no separate bill for the call.
