What Managed IT Services Cost in Green Bay (and What You Should Get for the Money)

Flat monthly pricing, per-user pricing, what is usually included, and the questions that tell you whether a quote is complete. A plain-English guide for Green Bay and Door County owners.

If you run a company in Green Bay, De Pere or anywhere in Brown County with ten to fifty people, you have probably asked a simple question and received a complicated answer: what should managed IT actually cost? This is the straight version, written for owners rather than IT people.

How managed IT is priced

Almost every managed service provider in Northeast Wisconsin prices one of two ways. Per user: a flat monthly fee for each person who uses a computer, which scales as you hire. Per device: a fee for each workstation and server, which suits shops where several people share a few machines. Either way, the number you want is one flat amount per month that covers support, monitoring, security and maintenance, with no hourly surprises for the routine work.

Beware of the third model, which is still common here: a low monthly fee for monitoring and then hourly billing for everything that goes wrong. It looks cheap on paper and costs more in a bad month, and it gives the provider no reason to prevent problems.

What the market charges

For a complete plan in this region, expect a range of roughly one hundred to two hundred dollars per user per month, with the low end covering basic support and monitoring and the high end including a full security stack, backups, compliance work and a named account manager. A fifteen-person company should therefore plan on somewhere between fifteen hundred and three thousand dollars a month for everything, and it should get everything for that.

Those are market ranges, not a quote. The point is that a proposal well under the low end is missing something, and the something is usually security or backups, which are the two things you cannot afford to be missing.

What a complete plan includes

  • Help desk with a published response time, answered by a person during business hours and reachable after hours for emergencies
  • Monitoring and patching of every workstation and server, done outside working hours
  • Endpoint detection and response on every device, not just antivirus
  • Multi-factor authentication enforced across email and remote access
  • Backups with restores that are actually tested, and a copy that ransomware cannot reach
  • Microsoft 365 management, licensing and security settings
  • Onboarding and offboarding of staff, with access removed the same day someone leaves
  • A quarterly review with the owner: what changed, what is at risk, what it will cost next year

Six questions that expose a thin quote

  • What is your response time for a user who cannot work, and where is that written down?
  • Is endpoint detection and response included, or is that an add-on?
  • When did you last do a test restore for a client, and can I see the result?
  • What happens to the price when we hire three people?
  • Who do I call at 7 p.m. on a Friday, and what does that cost?
  • Will you help with our cyber-insurance application, and will you answer it truthfully?

Why the cheap plan costs more

The expensive part of IT is never the monthly fee. It is the day of downtime when the server fails and the backup was never tested, the ransomware event that a real security stack would have stopped, or the insurance claim denied because the application said MFA was on when it was not. A plan that prevents those is cheaper than one that bills you to fix them.
